- Workbooks CRM October 2012 Release

Workbooks is being upgraded

October 2012 Release

We are pleased to announce this release which includes a number of enhancements designed to make Workbooks easier to use and to improve performance.

Bulk Action Improvements

Bulk Actions have been extended so you can easily add People, Leads and Organisations as Campaign Members directly from landing pages without having to write a report.  So for example you could filter to get a list of People whose job role contains 'Director' or 'Manager' and add them directly to the Campaign from the People landing page.

Reporting Improvement - Date Formatting

We have made it easier to format dates in Reporting.  When adding a date column into a report, you can now select how you would like that date to be formatted.  The column will always sort in date order regardless of the format you select.  This removes the complexity of having to use the DATE_FORMAT function and then define an alternative sort column in a report. The screenshot below shows how the new functionality is used.

MailChimp Integration Improvements

We have improved the integration between Workbooks and MailChimp enabling you to create new MailChimp Campaigns from within Workbooks and also see the clicks, opens and bounce data from MailChimp back inside Workbooks.  Workbooks Campaigns can now be directly linked to a MailChimp Campaign, enabling Workbooks to extract the MailChimp Campaign summary information and also to extract the open, clicks and bounce data on a per-member basis.

You can also sort this information to identify which people most recently opened the messages. Workbooks will continue checking MailChimp for updates to opens, clicks and bounces for 30 days after the campaign has been sent. All this information is available within reporting.

Import Improvements

The Import tool now supports the import  and update of Campaigns, Campaign Members and Campaign Member Status.

Changes to Search

We have made several changes to the search tool to improve performance and help you find your information more quickly.

Now when you search you will be performing a quick search first. The quick search will return all records which start with the search term you looked for; if it can't find a direct match the search engine will automatically perform a full search.  For example if you search for 'Alan' it will return all records which start with the word Alan and only those records.

Quick Search Results for 'Alan'

Whereas a full search will return all records which contain the word Alan in their indexed fields.

Full Search Results for 'Alan'

We have also included object references in the search results and included more fields in the indexes, allowing you to search by email address or postcode to find a person or organisation.

Finally, a new 'sounds like' option will search for full names that sound like your search text, which can be useful if you are unsure of the spelling of a name and cannot find a record otherwise. For example if you enter 'Alan Smith', the search results could include 'Alain Smith' or 'Alan Smyth', whilst searching for 'Leslie Kay' could find 'Lesley Kaye'.

Please note it will take 24-48 hours for the new search features to become available in your database following the release.

Performance Improvements

We have made a number of changes to improve the performance of Workbooks.  You will now find the 'My Views' are much quicker as are landing pages and forms which include a lot of Dynamic Linked Items.  We have also improved the loading times of a number of forms to make the product feel a little more 'snappy'.

Text Editor Improvements

We have added 'keyboard short-cuts' to the text editor.

Date/Time/User Hotkey:  If you press ALT SHIFT 0 inside the HTML editor or multi-line text fields it will automatically create a time stamp, this is useful for quickly recording who added a comment to a field for example.

Subscript/Superscript Support: ALT SHIFT 1 will create subscript, and ALT SHIFT 2 will create superscript text in the HTML editor for rich-text fields.

You can find out more about keyboard shortcuts here: http://www.workbooks.com/help/html_editor

Other Changes

  • The email dropbox now supports alternate email addresses, so if you store more than one email address against a contact it will match.

  • Internet Explorer 10 (which comes with Windows 8) is now supported.

  • We have extended the concept of state to line items.  This means you can lock a line item by changing it's state to closed, enabling some line items to remain editable and others locked.
