Workbooks x Force24(Intro page 1)

The Workbooks and Force24 integration gives you the ability to manage and segment your data, review campaign success and report on results all in one place via a single sign-on login within your Workbooks database. In addition to this, the Force24 UI within Workbooks will also host a Live Chat feature so that your marketing related questions can be answered within minutes by experts in the field.

Pre-requisites

As a minimum: Force24 Base License (which includes 10,000 contacts, 72,000 sends per annum and 3 main users)Other packages are available, speak to your Account Manager to get the right licence level depending on your usage.

Force24 is a powerful marketing automation platform designed to help businesses capture, captivate, and convert their target audience. By integrating with your data in Workbooks, you can provide the whole business with valuable insights into the interactions you have with prospects and customers, helping you to make information-driven decisions, build stronger relationships and close more dealsClick here to find out more about Force24’s features. Onboarding with Force24

After signing up for Force24, you will embark on an onboarding journey that includes the following steps: 

Force24 will schedule a number of calls to cover: 

  • Initial setup 
  • Platform overview and training 

In the meantime, it would be Workbooks Support team will enable the Module on your database and will schedule a call an onboarding call to discuss the following points and setup the integration: 

  • Who will be the master user? 
  • Which other users will need to be a marketing user in Force24? 
  • Which People records do you want synced to Force24? 
  • Which fields within Workbooks need to be mapped to Force24? (Currently only fields on a Person record are mappable. However, are there fields from other record types that are required, in which case is any admin required to achieve this?) 
  • Who should be set as the ‘Notify’ user? 
  • What data do you want to come back into Workbooks as an Online Activity? 
  • Confirm a generic email address that can be used as a ‘Default User Login’ (This does need to be an active email address, so once setup in Force24, it can be authenticated. Further access to this inbox is not required) 

The onboarding of customers and 1st line support for the Force24 is provided by Force24. This is so Force24’s support team (support@force24.co.uk) is best placed to provide specialized assistance and guidance on deliveries, advising, and other support-related queries. The integration is written and managed by Workbooks, allowing us greater flexibility for direct intervention and resolution of problems, ensuring smoother operations. Therefore, for any questions or issues regarding the synchronization of data between the two platforms, then raise this with us (support@workbooks.com) 

Reviewing People Records in Workbooks 

Once we have completed the above, we then move on to identifying records that are duplicates that will be synced. We do this via a Report and a Person Landing Page view: 

  • Landing Page View
    • Open People > All People 
    • Add the following filters: 
      • Sync with Mailers – Is True 
      • Email – Is not blank 
      • Save the view by clicking View > Save as > Name can be something like ‘Force24 Valid Records’ 
      • Share the view with the relevant user 
  • Report – Please check if you already have a report setup for Duplicate People already. If not, there is a template report that can be used ‘Template – Possible Duplicate People’ 
    • Add the following columns to the Details view:  
      • Email Address Undeliverable 
      • No Email 
    • On the summary view ‘Matching Email Address’ add criteria for: 
      • Email Address Undeliverable – Is false 
      • No Email – Is false 
      • Make sure the report is shared with the relevant user 

 

FAQs - Here are some questions that might help provide a little clarity on the integration

Which is the source for Master Data, Force24 or Workbooks?

Workbooks will be the source for Master Data. 

What is the Unique Identifier used by the integration?

Email address is the unique identifier that is used by the integration, this would ensure that Person/Contact records in either platform have the correct information. 

Can customers use the same domains / sub-domains when moving from one marketing platform to F24?

Force24 run through setting up subdomains as part of the onboarding. You can keep the same domain, but most customers do choose to setup new ones.

With subdomains you can’t have one subdomain pointing to two places (For example: Spotler and Force24), so if you point your existing subdomain over to Force24, you would no longer be able to use that one in Spotler.

If a customer wants to be able to have Spotler and Force24 running at the same time, but also want to have the same subdomain, Force24 have suggested setting up a new subdomain to use in F24, and then when everything is setup and running as expected, switch off Spotler, and add the Spotler subdomain into Force24. This was the process done by one customer previously which worked.

If Duplicates exist in Workbooks and Force24, which Duplicate will Online Activities be associated with?

In case Duplicates are synced, Force24 Contact data will be associated with the oldest record(Person ID in Workbooks) with the same email address. 

What does Main Users mean in context of the Force24 set up?

Main Users on Force24, also known as Marketing Users, can access the iFrame from Workbooks if they use the same email address for logging in on both platforms. These users have full permissions on Force24, allowing them to create, update, and send content through the system. Non-Marketing Users can also login to Force24, this will enable minimal access via the Force24 tab on People records and Mailing List records. This User will be able to see Campaigns sent and Campaign results 

What controls if a Person record will sync into Force24?

People records sync with Force24 if the ‘Sync with Mailer’ checkbox is checked. This checkbox is checked by default when a Person record is created unless changed by a User or Automation. Contact Workbooks Support to sync only selected Persons records to Force24. 

Does the integration pick up People if there is no email address?

  • Currently no. However, this will be raised as an enhancement for a setting to be available to allow customers to choose to sync records with just a mobile number.
  • Contacts can be imported to Force24 with just a mobile number and a fake email will be created.

 

Can I map fields on my Sales Leads in Workbooks to Force24?

Only fields on a Person record can be mapped to Force24. If you need to transfer values from other records to a Person record, contact the Workbooks Support team for assistance. 

Which platform should we Segment our data on?

Customers are typically encouraged to segment data in Force24. However, complex segmentation can be done in Workbooks and the Mailing List used can be synced with Force24. 

Will Person records marked as ‘Undeliverable’ or ‘Opted Out’ sync to Force24? Will these Person record go against the agreed Number of Contacts in Force24?

  • It is important to note that People records marked as ‘Undeliverable’ or ‘Opted Out’ will be synced to Force24.  
  • This will count against the number of contacts included in your Force24 license, unless ‘Sync with Mailer’ checkbox is blanked. 

Does Force24 all you to send Transactional emails?

Transactional emails are not available at the moment, but this is being worked on. 

Will we be able to JSON data for the Web Form Submissions?

Web Form Submissions are available, JSON data will be available in Online Activities. 

Will the Form Submission create New Person/Sales Lead/Both?

New Person/Sales Lead/Both records will be created based on the email address supplied but existing Person records will not be updated. This is because we don’t want to decrease the data quality in Workbooks because of incorrect Form Submissions 

How do I sync Mailing Lists?

To sync a Mailing List into Force24, you will need to create a new Mailing List.  Assistance on creating a Mailing List can be found here. Once created, there is a ‘Synchronise With’ picklist on the main tab which will include ‘Force24’.  Once selected, the ‘Force24 – Send Mailing List’ process will then sync the Mailing List when it next runs.
