Sync Outreach Sequence States to Workbooks

When a sequence is set up in Outreach, each step that is set up in the sequence has an associated state. These sequence states represent where a Prospect is in a Sequence. The integration has been set up to also sync the state of each sequence that a person is in back to Workbooks against the related person.

Sequence State Description
Active – Running Sequence is enabled and actively running.
Active – Paused This state means that the user has manually paused the Prospect within the sequence. These Prospects will remain paused until the user resumes them in Outreach.
Opted Out The Prospect has unsubscribed from all future communications.
Finished Once all steps have been completed within a Sequence, it is set to ‘Finished’.
Pending This means that the Sequence has not been enabled in Outreach.
Disabled This suggests that the Sequence in outreach has been disabled as a whole or a sequence step has been disabled.
Failed The mailing failed to send.
Bounced The email has bounced.
Not Active The user has never been added to a Sequence.

Any changes that are made to a sequence will sync back to Workbooks where the sequence state field is updated to the current state in Outreach. The integration also populates/updates the State Updated at field on the Person record. This information becomes useful if needed to report on.

If a person has Opted Out in Outreach, this will be synced back to Workbooks setting the No Email checkbox on a person record to TRUE and updating the Sequence State field to Opted Out.

NOTE: Any task within a Sequence in Outreach that has been skipped, will sync back into Workbooks, creating a task and setting the status field to ‘Cancelled’.

NOTE: If you delete records from within Workbooks that have been synced to Outreach, then this will re-create the record in Workbooks. Therefore, it is best practice to delete the corresponding record in Outreach at the same time.
