Why isn’t the Field showing on the Record?

If the Field is not visible on the Record once you open it, there could be a number of reasons causing this. Please review the possible causes below:

Has the Field been created and applied to the correct Record Type?

Unlikely as it may be, the Field may have been created on the wrong Record Type.

To check this:

  1. Go to Start > Configuration > Customization > (Your Record Type).
  2. Select the Record Type you expect the Field to appear on.
  3. Open the Fields tab and confirm the Field exists in the list.

If the Field is not listed, it has either been created on a different Record Type or has not been created successfully.

Has the Field been added to the correct Form Layout, and is the User viewing the correct Form Layout?

Even if the Field has been created successfully, it will not appear unless it has been added to the Form Layout that the User is viewing.

To check this:

  1. Go to Start > Configuration > Customization > (Your Record Type) > Form Layouts.
  2. Open the Form Layout used by the Record Type.
  3. Confirm the Field has been added to the appropriate section of the layout.
  4. Open the Record and verify which Form Layout is being used, ensuring it matches the one you edited.

If multiple Form Layouts exist for the same Record Type, different Users may see different layouts depending on their permissions.

Has the Form Layout been shared with the correct User/Group?

If the User does not have access to the Form Layout containing the Field, Workbooks will display another Form Layout that they do have access to.

To check this:

  1. Open the Form Layout.
  2. Select the Sharing tab.
  3. Confirm that the relevant User, Group or Security Role has access to the Form Layout.

Has the Field been enabled by ticking the ‘Show’ tick box?

Fields can be hidden from the Form Layout even though they have been added to it.

To check this:

  1. Open the Form Layout.
  2. Select the Field within the layout.
  3. Confirm that the Show checkbox is ticked.

If the Show option is not enabled, the Field will remain hidden when viewing the Record.

  • The Record Type and Field name.
  • The affected User(s).
  • The Form Layout being used.
  • Screenshots of the Record and the Form Layout configuration where possible.
