Configuring the Advanced Security Module: Segmenting Users by location

Below is an example of how Workbooks can be configured for a Company spread across two Countries, this is one of the most common uses of the Advanced Security Module and allows you to configure your data in a way that means only the Users that require the information are able to access it. For example, if you have Users across two countries, Country A & Country B, Users in Country A may not necessarily require access to the Users' data from Country B.

The rules will be as follows:

  • Users in Country A can Read & Modify People Records assigned to Users in Country A
  • Users in Country B can Read & Modify People Records assigned to Users in Country B

Before configuring the Permissions, you will need to make sure that you have User Groups in your database for Users in Country A & Country B.

Note: You do not have to give these User Groups any capabilities unless they are required. If it is purely for segmenting your data it is not required.


Once you have done this you need to set up the Permissions for these Groups (Start > Configuration > Users & Security > Permissions).

The first thing you will need to do is create a new Ruleset, to do this select Manage Rulesets:


And then select New Ruleset:


You will need to create two Rulesets, one for Country A Users and one for Country B Users.


The Country A User Group has been given Read & Modify Capabilities on Items they own.


Country B User Group can also Read & Modify items they own.

You can now Save and Close these Rulesets and add a Sharing Policy, by select Add Sharing Policy:


From this view you will need to complete the fields and apply the new Rulesets. This example uses People Records, so we have created two New Sharing Policies, that look like below:


This means that any People created by Country A or B Users will only have the sharing permissions of that Country Ruleset which was recently applied.

Now you have created the Ruleset and Sharing Policy you need to update the Sharing Permissions. This is done through a Bulk Action on the relevant Landing Page:
