This release brings our new AI functionality into Beta, plus a few other small changes

Workbooks AI

We’ve built Workbooks AI to be a customisable tool to do the boring, repetitive work for you, such as:

  • Research prospects;
  • Summarise your meetings, draft follow-up emails and create next step activities;
  • Suggest next steps based on data on the record and in attached activities, emails and transcripts;
  • Help answer prospects’ questions or surface relevant materials such as Case Studies.

The initial phase includes:

  • A Meeting Bot that can join and record your meetings.
  • A tool that can transcribe recordings of meetings or calls.
  • Customisable Agents, tailored to your business needs.
  • Library and Article records for storing your documentation on internal processes, case studies, product knowledge and more.


Workbooks AI will be a separate purchasable module, but is currently only available through our Beta Program. Please contact your Account Manager if you are interested in participating.

RingCentral Integration Updates

We’ve upgraded our RingCentral Widget to a newer version, improved call handling and logging, and added in new transcription functionality.

Automatic call logging from within the RingCentral widget is now available. When turned on, calls are logged instantly as Activities in Workbooks, allowing you to start capturing notes while the call is still in progress. Additionally, if you start the call from an existing Phone Call Activity, this will be the record updated by RingCentral.

Task creation from call logging has been improved, ensuring:

  • The correct task status is applied
  • Proper association to existing records
  • Accurate status progression from Connected to Accepted


This means cleaner data and fewer manual corrections.

Another new feature, within the RingCentral widget, is dark mode. This can also be set to automatically match your Workbooks theme, keeping your workspace visually consistent.

If you also use the new Workbooks AI, a new transcription service is available for call recordings. The transcriptions can be leveraged to:

  • Generate summaries
  • Produce clearer call notes
  • Improve overall documentation accuracy

Other Changes

API Keys

We are adding more restrictions to API Keys, to help you follow safe practices and not open your database to vulnerabilities. API Keys should have access restricted to only IP addresses you trust and should have Valid Until dates set on them. Where possible, you should also only allow them a limited set of Capabilities.

Whilst these restrictions are only enforced on any new API Keys created from now, we do encourage that you revisit your existing API Keys, disabling any that are no longer used and adding more restrictions to those that you can.

As a result of these restrictions, you may now start seeing Notifications for API Keys that have expired or are due to expire soon. This is to help remind you to disable any that are no longer used or to extend out Valid Until dates where needed.

Show fewer tabs

Sometimes, you can have a lot of tabs available at the top of your form, and you may not need most of them most of the time. We’ve added a new way of displaying Tabs, to declutter your screen by showing only the first few and collapse the rest under a More menu. You can change to this in your Preferences, under Look & Feel > Tabs, by choosing ‘Show first four’. If you make any changes to your Preferences remember to reload your Desktop to make them take effect.

Show fewer buttons

There are some forms that show a lot of buttons, so as with the tabs above, we’ve added a new way of displaying them that will declutter your screen. With this enabled, most buttons will be collapsed into an ‘Actions’ menu and a Cog menu. You can change to this in your Preferences, under Look & Feel > Buttons, by choosing ‘Collapse into groups’.

New Icons

You might spot that we have updated the icons. For the majority of them, there is no noticeable difference, but in a couple of places we have taken the opportunity to use a new icon:

  • Reporting

  • Dashboards
  • Events
